The British Luncheon 1916 Privacy Policy

To function the association The British Luncheon 1916 (the Luncheon) needs to keep some personal data about its members. The Committee that runs the Luncheon will always be transparent about what data we collect and hold about you, where that data comes from, how we use the information we hold about you, and the choices you can make.
Information we collect
Our principal source of information is the biographical data you submit on joining the Luncheon. We also collect data from your attendance at lunches and other events, as well communication with us. Information is gathered across the lifetime of your membership of the Luncheon.
Personal information :
Name, title, contact details, date of birth.
- Profile picture, if you choose to upload one.
- The links you submit to your public social media presence e.g. LinkedIn, Instagram.
Details of your activity with the British Luncheon 1916 :
- Your attendance (and that of your guests) at luncheons, including details of any payments made, guests, and photographs, audio and video recordings in which you may be included.
- Active involvement in the Luncheon : as officer or committee member.
- Records of your personal interactions with us (e.g. correspondence, emails sent and received, minutes of meetings.
- Details of payment for Lunches and annual subscriptions.
- A record of experience and expertise you have submitted if you have volunteered for the Time and Knowledge Initiative.
How and why this data is processed and used
Members’ data is collected and processed solely to allow the Luncheon to function.
Authorised officers of the Luncheon process member’s data in order to :
- collect annual subscriptions.
- inviting you to lunches and any other Luncheon events.
- administering the lunches for which you have registered, and/or attended.
- internal record keeping, and reporting of luncheon attendance and membership statistics to the Committee, and governance of the Luncheon.
Booking and payment of lunches and annual subscriptions
When you book to attend a lunch, or pay your annual subscription, this is now handled via a third party booking and payment system – Weezevent.com. As part of their business, Weezevent collects personal data from attendees for their own purposes, in order to ensure correct execution of transactions, and as a service provider on behalf of the Luncheon as event organiser. Cookies
Nota – a website cookie is a piece of text that a web server can store on a user’s system for later retrieval. For example, a web site might generate a unique ID number for each visitor and store the ID number on each user’s machine using a cookie file.
Your web browser will have options to show you all the cookies stored and will allow you to delete some/all of them as you wish.
The Luncheon’s website only uses cookies necessary for the delivery of the services members are using, and the effective functioning of the site. We do not use any marketing cookies.
If you visit the site’s login page, the site sets up a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, the site will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year.
Sharing of data
We do not share data with third parties, other than strictly necessary data with our booking and payment subcontractor, Weezevent.com. Member’s contact details, and links to public social media presence if given, are available to other members via the Members’ Directory section of the website.
Your Rights
You have the right to:
- ask us for access to, or rectification or erasure of your data.
- restrict processing (pending correction or deletion)
- object to communications
- ask for the transfer of your data electronically to a third party (data portability).
This does not include any data we are obliged to keep for administrative, legal, or security purposes.
